Because Standard Itineraries are instant digital downloads, they are non-refundable once delivered.

    • 50% refund if cancelled before the first draft is delivered.

    • No refunds once the first draft has been sent, as the majority of the planning work has already been completed.

Rescheduling or Adjustments

If your plans shift due to unforeseen circumstances, I’ll do my best to adjust the itinerary within reason. Significant reworks may require a small revision fee depending on the package.

What If I Need to Cancel a Call?

No problem! Calls can be rescheduled with 24 hours’ notice. Missed calls without notice may be subject to a small rebooking fee.

Hard-to-Book Experiences Clause (Lake O’Hara, Assiniboine, Skoki, backcountry permits, etc.)

Because access to certain areas and experiences is controlled by Parks Canada, BC Parks, and independent lodge operators, and often sells out over a year in advance, the following terms apply to all itineraries that include these experiences:

  • I cannot guarantee availability for limited-capacity permits, lodges, or attractions.

  • Research, planning, and support for these experiences are included in the service, regardless of outcome.

  • If a client’s preferred dates or locations are unavailable, the itinerary will be adjusted to comparable experiences.

  • Due to the high amount of planning required, no refunds will be issued for itineraries that cannot include these specific locations due to lack of availability, as this is beyond my control.

Important Booking Notes for the Canadian Rockies

Planning a trip to the Canadian Rockies often means navigating a few unique booking systems — especially if you’re hoping to visit iconic places like Lake O’Hara, Mount Assiniboine, Skoki Lodge, or popular backcountry campgrounds. Many of these experiences are extremely high demand, with openings scheduled months (and sometimes a full year) in advance.

Here’s what travellers should know before planning:

Parks Canada Booking Windows

Parks Canada typically opens reservations for campgrounds, backcountry sites, and national park passes between November and February for the following summer season.

Each park opens on a different day and time, and availability for popular campgrounds often sells out within minutes.

I monitor the annual release schedule and help you prepare for:

  • backcountry campground reservations

  • national park day-use permits (when applicable)

  • high-demand areas like Moraine Lake pre-bookings (when in operation)

Queue Systems for High-Demand Reservations

Parks Canada uses an online virtual waiting room system for opening day. This means:

  • everyone is placed in a randomized queue

  • you may end up near the front — or far back

  • spots can disappear quickly

  • flexibility significantly improves your chances

I’ll provide a complete game plan for navigating the queue, including timing, browser tips, backup options, and alternate routes.

Backcountry Lodges & Hut Bookings (Skoki, Assiniboine, Elizabeth Parker Hut)

Mount Assiniboine (Hut & Lodge)

  • The Naiset Huts open each fall for the following summer, and sell out in minutes.

  • The Assiniboine Lodge uses a lottery system for its peak-season backcountry stays.

  • Additional nights may occasionally become available throughout the year, but are rare.

I’ll help you understand the application process, timelines, and what to expect if you’re entering the lottery or aiming for a hut stay.

Skoki Lodge

Skoki accepts bookings more than a year in advance and is extremely competitive during summer and larch season. Many travellers book as soon as dates open.

If Skoki is a priority, early planning is essential. I’ll outline the timelines and best chances for securing a spot.

How the Lake O’Hara System Works

Day Bus

  • Lake O’Hara’s day-use bus is accessed via a lottery system run each spring for the summer season.

  • Lottery entries typically take place in March.

  • Winners are randomly selected for specific dates.

  • Standby options exist but are never guaranteed.

Overnight huts + campground

  • The Elizabeth Parker Hut is booked through the Alpine Club of Canada and is highly competitive.

  • The O’Hara campground opens early in the year and sells out immediately.

I’ll help you enter lotteries, choose backup dates, and frame your itinerary around any successful spots.

BC Parks Reservations (Garibaldi, Mount Robson/Berg Lake, Bugaboos & More)

BC Parks opens its reservations on a rolling 4-month window, which means you can book exactly 4 months before your desired start date (to the day).

Some areas — like Garibaldi, Joffre, and the Bugaboos — often book out seconds after the window opens.

I’ll help you track exact release days and prepare for the queue.

To craft a seamless adventure — especially for big objectives like O’Hara or Assiniboine — early planning is essential. Some experiences require:

  • a year+ of advance prep

  • lottery entries

These Terms & Conditions govern all custom itinerary planning services (“Services”) provided by Peak Planning & Creative / Peak Experiences Blog (“we”, “our”, “us”) to the client (“you”). By purchasing or engaging with any itinerary package, you acknowledge that you have read, understood, and agree to the following terms.

1. Nature of Services

Peak Planning & Creative provides itinerary planning, destination recommendations, and travel support, but does not act as a travel agency or licensed booking agent.

You acknowledge that:

  • We do not issue tickets, reserve campsites, book hotels, or purchase permits on your behalf unless explicitly stated and agreed upon in writing.

  • All travel bookings (accommodation, transportation, excursions, permits, etc.) are completed directly by you through third-party platforms.

  • We are not responsible for the actions, availability, or policies of any third-party providers.

2. Scope of Itineraries

Each itinerary package includes the services described on our offerings page. Any additional work beyond the included scope may require an added fee.

2.1 Standard Itinerary

A pre-designed, non-custom, digital itinerary.

Delivered instantly.

Non-refundable.

2.2 Personalized Itinerary

Customized based on your questionnaire responses and optional consultation. Includes one round of revisions.

2.3 Fully Customized Itinerary

Highly tailored multi-destination planning with ongoing support. May include booking coordination where applicable. Includes two rounds of revisions.

3. Client Responsibilities

You agree to:

  • Provide accurate and complete information during the questionnaire process.

  • Book accommodations, excursions, transportation, permits, and park passes as instructed in the itinerary.

  • Monitor changes or updates from suppliers (e.g., Parks Canada releases, airline changes, weather conditions).

  • Ensure you are physically prepared for all chosen activities, and consult a healthcare provider when necessary.

You are solely responsible for:

  • Your own safety

  • Travel insurance

  • Compliance with local regulations

  • Valid identification (e.g., passports)

  • Meeting permit requirements

4. Competitive Permits, Lotteries & Limited-Capacity Experiences

Experiences such as Lake O’Hara, Mount Assiniboine, Skoki Lodge, and backcountry campsites operate on competitive systems including lotteries, timed releases, and limited availability.

You acknowledge that:

  • Availability is never guaranteed.

  • We cannot control booking windows, queue systems, or lottery outcomes.

  • If a requested lodge or permit is unavailable, your itinerary will be adjusted with comparable alternatives.

  • No refunds are provided for itineraries that cannot include specific locations due to unavailability.

5. Revisions

Revisions are included as follows:

  • Personalized Itinerary: 1 revision

  • Fully Customized Itinerary: 2 revisions

Additional revisions may be purchased as an add-on.

A “revision” includes:

  • rearranging daily plans

  • swapping activities

  • adjusting pacing or length

  • changing accommodation type or location

It does not include rebuilding the itinerary due to major date changes, destination changes, or loss of availability (e.g., missing a booking window). These may require an additional fee.

6. Cancellation & Refund Policy

6.1 Standard Itinerary (Digital Download)

  • Non-refundable once delivered.

6.2 Personalized Itinerary

  • Full refund within 24 hours if work has not begun.

  • 50% refund if cancelled before the first draft is delivered.

  • No refunds once the first draft has been sent.

6.3 Fully Customized Itinerary

  • Full refund within 24 hours if work has not begun.

  • Once planning has commenced, this package becomes non-refundable.

  • If you change your travel dates or destinations after delivery, additional revision fees may apply.

8. Travel Risks & Liability Disclaimer

Outdoor activities involve inherent risks, including but not limited to:

weather changes, wildlife encounters, trail conditions, terrain hazards, and personal fitness limitations.

By purchasing a custom itinerary, you agree that:

  • You participate in all activities at your own risk.

  • Peak Planning & Creative is not liable for injury, loss, delays, cancellations, or damages resulting from:

    • weather

    • wildlife

    • travel disruptions

    • trail closures

    • overbooked accommodations

    • third-party negligence

    • personal decisions or physical limitations

Always check official updates before heading out.

We strongly recommend obtaining comprehensive travel insurance for trip interruptions, cancellations, medical care, and adventure coverage.

9. Intellectual Property

All itineraries, guides, maps, routes, PDF layouts, images, and written materials are the intellectual property of Peak Planning & Creative.

You may not:

  • Reproduce

  • Sell

  • Redistribute

  • Share publicly

  • Publish

    any portion of your itinerary.

10. Communication Policy

Support is offered via:

  • Email

  • Optional WhatsApp chat (for relevant packages)

  • Scheduled video or phone consultations

WhatsApp support is available during reasonable hours based on Pacific Time unless otherwise agreed.

11. Modification of Services

We reserve the right to modify service offerings, pricing, timelines, or terms at any time. Ongoing clients will be notified if changes affect their active planning.

12. Governing Law

These terms are governed by the laws of British Columbia, Canada.
